Fish and Wildlife Service, International Affairs Program (IA), administers a permitting program related to various wildlife laws and treaties at different offices.
The Administrative Assistant will assist the Division in resolving the backlog of applications for permits.
DUTIES AND RESPONSIBILITIES Administratively processes applications for permits within the permitting program to provide adequate review of proposed activities relative to procedural requirements and to provide timely permit processing and effective customer service.
Consistently organizes, monitors, and tracks personal application workload.
Undertakes regular consultation with the Government-staffed Team Leader on progress made on clone application processing.
Collaborates and cooperates with others to complete work products by coordinating with involved parties.
When confronted with a challenge or problem, recommends a solution for Government-staffed Team Leader or CITES Policy Specialist for consideration.
Demonstrates interpersonal relationship skills and a professional demeanor that promotes developing and maintaining positive working relationships with other HQ branches and divisions, regional offices, other FWS programs, and others.
Demonstrates respect for team members, considers/respects the views of others, and actively supports team decisions.
Helps maintain a cordial and positive atmosphere in the Headquarters Office.
Independently plans the work; resolves problems and carries out successive steps of assignments.
Work consists of related steps, processes, and standard explanations of methods or programs in the function.
Checks and performs processing of clone requests received in the office; compares information submitted with information previously recorded; and considers and evaluates sources of information.
Recognizes different procedures required to process clone applications.
Utilize systems to enter, track, manage, and compile data accurately and efficiently.
Processing of incoming mail:
receiving mail, date stamping mail, scanning, uploading, photocopying, sorting and routing incoming mail, data entry of mail.
Accurately inputting applications into E-permits, coding of permit applications, use automation software.
Knowledge (training provided) of ePermit's processing sufficient to enter data into the tracking system, code permit applications, ensure accuracy of the data entered, and apply judgment when a correction is necessary.
QUALIFICATIONS AND REQUIREMENTS Have or be able to obtain a Public Trust Security Clearance Knowledge of the Federal Privacy Act of 1974 Demonstrated experience using Microsoft Office Suite Skill in resolving problems and issues, and in dealing with people in a tactful and personable manner, both on the phone, in writing and in person.
Skill in navigating and working in electronic systems, ideally has familiarity working a ServiceNow operating system.
Ability to adhere to privacy act and records retention requirements, learn and comply with ePermits procedures for entry and retrieval of data regarding permits and licenses and search records or guidelines.
Demonstrated experience with database entry and extraction, record keeping and tracking, and communication logs.
